How Our Team Takes Care of Everything
What actually happens when you book with us. The team, the process, and why guests tell us the best part was not having to think about logistics.
I get asked all the time: "What exactly do you guys do?" Fair question. Here's how it works from the moment you message us to the moment you fly home.
Before You Arrive
Step 1: You Message Me
Usually on WhatsApp. You tell me your dates, group size, what you're looking for. I respond within an hour. We actually track this, and our average is 47 minutes. Guests describe us as "one message away and super responsive," and we take that seriously.
I'll ask a few questions: Any birthdays or special occasions? Dietary restrictions? Do you want activities planned or just beach time? Anyone with mobility issues? The details matter.
Step 2: I Match You to a Villa
I've been doing this for 10 years. I know which villa works for which group. Families with little kids? I'm putting you in a villa with a shallow pool and ground-floor rooms. Corporate group that needs meeting space? Different villa. Friend trip that wants to party? I know which compounds are cool with that and which aren't.
Sometimes people browse the website and pick one themselves. Sometimes they just trust me to choose. Both work.
Step 3: Planning Call
About 2 weeks before you arrive, we get on a call. I walk you through everything: villa layout, check-in process, restaurant recommendations, activity options, weather forecast, what to pack.
This is when we finalize details. Do you want a chef? Which days? What time do you want breakfast? Any day trips you want booked? Special requests for birthdays or anniversaries? I write it all down.
After the call, you get a PDF with everything confirmed: villa address, emergency contacts, activity schedule, restaurant list, packing tips.
When You Arrive
Airport Pickup
Your driver is waiting at arrivals with a sign with your name. If your group is arriving on different flights, we coordinate multiple pickups. The driver knows exactly which villa you're going to.
15-minute drive to the beach. The driver usually points out landmarks, answers questions, and gives you his number in case you need rides during your stay.
Villa Check-In
The villa manager meets you at the gate. They show you around: where everything is, how stuff works, pool rules, Wi-Fi password, on-site restaurant, how to call for help.
Your luggage goes directly to your rooms (we assign rooms before you arrive based on the group composition you told us about). If you ordered welcome snacks or drinks, they're already in the fridge.
The Welcome Message
Within an hour of arrival, you get a WhatsApp from me: "Hey! You made it. Everything good with the villa? Need anything?" That message thread stays open your entire trip. Anything you need, you just message.
During Your Stay
This is where the real work happens, and most of it you don't see.
The Team
You're not just dealing with me. There's a whole team behind the scenes:
- Villa manager: On-site every day, handles anything related to the property
- Huy (operations): Coordinates chefs, drivers, activity bookings
- The chef (if you booked one): Shopping, cooking, serving, cleanup
- Drivers: Airport runs, day trips, restaurant shuttles, whatever you need
- Me (Leon): Available 24/7 for anything that comes up
Example of how this works: Your group decides last-minute they want to do a day trip to Hoi An tomorrow. You message me at 9pm. I message Huy. By 10pm, you have confirmation: van picking you up at 8:30am, guide meeting you in Hoi An, lunch reservation at 1pm, back to villa by 5pm. Cost is $X per person. You say yes, it's done.
The Stuff We Handle Without You Asking
- Villa gets cleaned daily. Fresh towels, beds made, common areas tidied.
- Pool maintenance happens early morning before you're up.
- If something breaks (AC, Wi-Fi, whatever), the villa manager fixes it or calls someone. You might not even notice.
- We monitor weather. If there's a storm coming on a day you planned beach activities, I message you the day before with alternative options.
- If you booked a chef, they check in with you after the first meal: "Was that good? Want me to adjust anything for tomorrow?"
The Stuff You Ask For
This varies wildly by group. Recent examples:
- "Can you get a birthday cake delivered to the villa by 7pm tomorrow?" Done.
- "Half our group wants to go golfing, half wants to go to the spa. Can you organize both?" Done.
- "We need a conference room setup for a meeting tomorrow morning." We converted the dining room into a conference space.
- "Someone left their medication at home. Can you help?" We connected them with a local pharmacy and doctor.
- "Can you book a private boat for sunset?" Booked it, picked everyone up from the villa dock.
The answer is almost always yes. If we can't do something, I tell you immediately and offer alternatives. As our guests say, "they never say no."
When You Leave
We arrange checkout and airport transfer. Driver picks you up whenever your flight is. You get a message from me after you board: "Safe flight! Let me know if you're ever coming back."
About a week later, you get a follow-up: "How was everything? Any feedback?" We actually read and use this feedback.
Why This Matters
Here's what guests tell us most often: "Really wonderful to spend the time and not worry about anything."
Group trips are complicated. Coordinating 15 people's preferences, schedules, dietary needs, activity interests. It's a lot. Most groups have one person who ends up doing all the planning and organizing. That person never fully relaxes because they're always managing things.
When you book with us, that job becomes ours. You show up, we handle it. You want to change plans last-minute? Fine. Someone has a special request? Done. Need help with something random? Message me.
Your job is to enjoy the trip with your people. Our job is everything else.
